Why does a Google Drive QMS stop working at audit time?

Because Drive was built for collaboration, and a QMS has to prove control. ISO 13485:2016 clause 4.2.4 requires documents to be approved before issue, the current revision to be identified, and obsolete documents to be kept out of use. In a shared drive, the "current" SOP is whichever file someone last edited, and comment threads or a filename suffix stand in for an approval record.

Part 11 then asks for more than Drive records. Section 11.10(e) requires secure, computer generated, time stamped audit trails retained for at least as long as the records, and sections 11.50 and 11.70 require each signature to show the signer, date, time and meaning and to be permanently linked to its record. Those are design properties of a quality system, not settings you can switch on in a shared drive.

How long does Google Workspace keep its audit logs?

Six months. Google's Workspace admin documentation lists a data retention of 6 months for Drive log events, for Admin log events and for user log events, the log formerly called the Login audit log. That is the evidence of who opened, edited, shared or deleted a file.

ISO 13485 clause 4.2.5 requires quality records to be kept for at least the lifetime of the device and never less than two years from release. A Drive based QMS can therefore lose the activity history behind a controlled document long before the document itself may be destroyed, unless logs are exported to a separate store on a schedule, and that export process then needs validating too.

Does Google Drive keep every version of a document?

Not by default for uploaded files. Google's Drive help states that a version of an uploaded file might be permanently deleted after 30 days or once there are 100 newer versions, unless someone marks that version "Keep forever". Native Google Docs keep a revision history, but it records edits, not approvals, and it is not a signed revision.

For a QMS, the question is not whether old text can be recovered. It is whether each effective revision, its approval and its release date can be shown together years later. That needs a controlled revision with an approval record attached, which is what an eQMS creates at release.

Is Google Docs eSignature Part 11 compliant?

Google does not say it is. Google's help page describes eSignature as a way to create documents for signature and send signature requests in Docs and Drive, available on Business Standard and Plus, Enterprise and certain other editions. The page we read makes no claim about 21 CFR Part 11 or EU Annex 11.

That does not make it useless; it makes it a general business signature. For records under an FDA predicate rule, you would have to validate the feature, show the 11.50 manifestation on the record, meet the 11.200 identification components, and file the 11.100(c) certification yourself. Most quality teams find it simpler to sign inside a system that was built for it.

What breaks when you export Google Docs?

Formatting is the visible problem; history is the real one. A Google Doc exported to Word or PDF keeps its current text, but its revision history, comment threads and sharing record stay behind in Google. Plan for that before you start.

How do you move a Google Drive QMS into an eQMS?

Treat the Drive as an archive you freeze, not a source you copy. The history that matters, who edited and approved what, is evidence of what happened on those dates and stays where it happened. The new audit trail starts at cut over.

  1. Restrict the QMS shared drive to view only and export a document register: number, title, revision, effective date, owner.

  2. Export the Drive audit logs for the QMS shared drive now, because Google retains them for 6 months, and store the export as a controlled record.

  3. Mark the effective version of every uploaded controlled file "Keep forever" in Drive, so version limits cannot remove it before the archive is final.

  4. Export the current effective revision of each Google Doc to an editable format, then import it into the eQMS with matching numbers and revisions.

  5. Load the training matrix and role assignments before go live, so the first release in the new system triggers retraining.

  6. Validate the configured eQMS under ISO 13485 clause 4.1.6, then record the cut over in a controlled memo naming the archive location.

What about the rest of the QMS in Google Sheets and Forms?

Move it in the same project, because it is usually where the gaps are. Early stage teams on Google Workspace tend to run CAPA in a Sheet, training in a second Sheet, complaints through a Form and supplier approvals in email. Clause 8.5.2 of ISO 13485 requires CAPA records, clause 6.2 training records, clause 8.2.2 complaint records and clause 7.4.1 supplier evaluation records, and each needs the same audit trail as the documents.

In an eQMS these become linked records: a complaint opens a quality event, the investigation opens a CAPA, the CAPA raises a change, and the change releases a revised SOP that triggers retraining. Can you keep using Google Workspace alongside an eQMS?

Yes, and most teams do. Email, calendars, meeting notes and working drafts can stay in Google Workspace. What moves is anything that is a controlled document or a quality record: the effective SOP, the signed approval, the training record, the CAPA. Draft in whatever your team prefers, then bring the document into the eQMS for review, approval and release.

Do Google shared drives fix the problem?

They fix ownership, not control. Google's help documentation says that when you move a file you created into a shared drive, you stay the creator but are no longer the owner, so files no longer disappear when an employee leaves. Only members with Manager access can move files to trash or permanently delete them, and Managers, Content managers and Contributors can restore files from trash for up to 30 days.

That is better than a personal My Drive, and it is still a file store. A shared drive does not know which revision is effective, does not attach an approval with a meaning to a revision, and does not keep its activity log beyond the 6 month Workspace retention. It is a sensible place for a QMS to start and a poor place for one to stay.

How should complaints collected through Google Forms move?

Carefully, because complaints carry legal clocks. ISO 13485 clause 8.2.2 requires documented complaint handling, and clause 8.2.3 requires reporting to regulatory authorities where required. In the US, 21 CFR 803.50 requires a manufacturer to report a reportable death, serious injury or malfunction within 30 calendar days of becoming aware of it. In the EU, Article 87 of Regulation (EU) 2017/745 sets 15 days for a serious incident, with shorter limits for serious public health threats and for deaths.

A Form that drops rows into a Sheet records when a complaint arrived but not when it was assessed for reportability, by whom, or what was decided. Move open complaints into the eQMS first, with the original receipt date preserved, so the reportability clock is visible from day one in the new system.

How do you train the team on the new system?

Before cut over, and inside the new system. ISO 13485 clause 6.2 requires competence for work affecting quality, and the first electronic signature in the eQMS should be made by someone whose training on the eQMS is already recorded in it. Train by role: reviewers on reading, commenting and signing with the right meaning; owners on the full draft to release route; administrators on configuration and its change control.

Teams coming from Google Docs tend to adapt fastest to the collaborative draft stage and slowest to the formal release step. Spend the training time on release, because that is where the retraining assignments and the audit trail start.

Built for software driven medical device teams that already work in engineering tools. Ketryx says its eQMS can sync changes directly from Google Drive while preserving audit trails, and publishes a free tier for pre-market companies that have raised less than 2 million USD. Ketryx is primarily an application lifecycle and compliance platform, so it suits teams whose QMS sits close to their software development.

Qualio

Built for growing life science teams moving off spreadsheets and shared drives. Qualio says most customers are live within 30 to 60 days and supports Google sign in; its document integration is with OneDrive and SharePoint rather than Google Drive. Pricing is by quote with an implementation fee.

SimplerQMS

Built for regulated life science teams that want one price that includes the migration. Is Google Drive Part 11 compliant?

Google does not describe it that way in the documentation we read. Drive keeps activity logs for 6 months and can purge versions of uploaded files after 30 days or 100 newer versions unless marked Keep forever. Using it for predicate rule records means validating your configuration and closing those retention gaps yourself.

Can we keep drafting SOPs in Google Docs?

Yes, as long as the controlled revision lives in the eQMS. Draft in Google Docs if your team prefers, then bring the document into the eQMS for review, approval and release. Some vendors connect directly to Google Drive: Greenlight Guru, Dot Compliance and Ketryx each publish one.

What should we export from Google Workspace before we switch?

Three things: a register of every controlled document with number, revision and effective date; the Drive audit logs for the QMS shared drive, because Google keeps them for 6 months; and the effective version of every uploaded file, marked Keep forever before the drive is frozen.

Do we lose our Google Docs version history when we move?

Are approvals given as comments in Google Docs valid signatures?

Not under Part 11. Section 11.50 requires the signed record to show the signer's printed name, the date and time, and the meaning of the signature, and section 11.70 requires the signature to be linked to the record. A comment saying "approved" does neither. Treat those documents as approved at cut over and sign the next revision in the eQMS.

How big does a company need to be before leaving Google Workspace?

Size is the wrong trigger. The trigger is the first regulated record you must defend: a design review, a supplier approval, a complaint or a first audit. Moving before an ISO 13485 certification audit or an FDA submission is far cheaper than reconstructing approvals afterwards.

Do we need Google Workspace Enterprise to stay compliant?

An edition upgrade does not make Drive a QMS. Higher editions add features such as eSignature, but Google's help page for eSignature makes no claim about 21 CFR Part 11 or EU Annex 11. The audit trail, signature manifestation and validation duties stay the same whatever edition you buy.
